This policy describes how the ZROOM website and mobile application (“the app”, “we”, “us”) collect, use, store, and protect your personal data when you use our tenant customer portal. By using ZROOM, you agree to the terms below.
This policy is designed to comply with applicable Vietnamese personal data protection regulations, including Decree 13/2023/ND-CP.
1. Scope
This policy applies to tenants who have signed a rental contract with a building management unit and use a ZROOM account to sign in on the website or mobile app.
For public website content such as project listings, rental posts, or service information, if you have not registered or signed in, this policy applies only to technical data necessary to operate the website.
2. Data We Collect
When you use our services, we may collect and process the following categories of data:
a. Account & profile
- Phone number used to sign in
- Building and rented room assigned to your account
- Password (stored encrypted; never stored in plain text)
- Optional profile details you provide: full name, email, date of birth, gender, address, ID number, avatar, social links
b. Rental contract information
Building, room number, contract term, and management unit details synced from the management system and displayed to you. You cannot edit contract-linked fields directly in the app.
c. Billing information
Invoice codes, billing periods, fee breakdowns, amounts paid, outstanding balances, and payment notes. ZROOM does not process online payments inside the app.
d. Support tickets
Title, description, priority, attached photos, conversation history, and post-resolution ratings when you submit support requests.
e. Notifications
Notification content, delivery time, and read/unread status.
f. Device & technical data
Push notification token, session identifiers, authentication tokens, device type, operating system, and basic crash or diagnostic logs needed to operate and improve the app securely.
g. Cookies & website storage
On the website, we use cookies and similar technologies to maintain sign-in sessions and protect accounts. You may clear cookies in your browser or sign out. The mobile app uses secure on-device storage instead of browser cookies.
3. How We Use Your Data
We use your data to:
- Verify your identity and manage your account securely.
- Display contract, invoice, payment history, and related services.
- Receive and process support tickets.
- Send notifications about invoices, contracts, maintenance, and important building updates.
- Improve service quality and user experience.
- Monitor technical performance and protect the system (not for personalized advertising).
- Comply with lawful requests from competent authorities.
We do not sell your personal data to anyone.
4. Legal Basis for Processing
We process personal data based on one or more of the following grounds:
- Performance of the rental contract between you and the building management unit.
- Your consent when you provide optional information or enable notifications.
- Legitimate interests in operating, managing, and securing the ZROOM platform.
- Compliance with applicable Vietnamese law, including Decree 13/2023/ND-CP.
5. Data Sharing
We only share data in the following cases. We do not sell, trade, or rent your personal data for marketing purposes.
Building management
To manage contracts, operations, and tenant care.
Service providers
Infrastructure partners such as hosting, database, notification delivery, and technical services. They access data only as needed and must follow confidentiality obligations. Some providers may host servers outside Vietnam; in that case, data may be transferred abroad as permitted by law.
Legal requirements
When required to comply with the law or to protect lawful rights of customers, ZROOM, or third parties.
6. Storage & Security
We apply technical and organizational measures to protect data against unauthorized access, loss, leakage, or alteration, including:
- Password encryption.
- Protected server infrastructure.
- Secure storage of authentication tokens on mobile devices.
- Internal access controls.
- Regular backups.
Data is retained while your account is active and as long as necessary to fulfill contracts, meet legal obligations, or resolve disputes. Transmission over the internet is protected with HTTPS/TLS where applicable; no method is 100% secure.
7. Retention & Deletion
We retain data while your account is active. You may:
- Update editable profile fields in the app or website.
- Delete your account (see Section 12 and our account deletion page): related personal data will be removed from our systems, except data we must retain by law.
Contract-linked fields such as room number, contract term, or invoices are managed by the building operator and may not be editable directly in the app.

8. Your Rights
Under applicable law, you have the right to:
- Be informed about personal data processing.
- Access and update your personal information where permitted.
- Request correction of inaccurate data.
- Request deletion or restriction of processing where the law allows.
- Withdraw consent (for example, disable push notifications in device settings).
- Lodge a complaint with a competent authority if you believe your rights were violated.
9. Device Permissions
The ZROOM mobile app may request:
Camera
To take photos when creating support tickets or updating your profile picture.
Photo library
To choose images from your device to attach to tickets or your profile.
Notifications
To send alerts about invoices, support tickets, and building announcements. You can change these permissions anytime in your device settings.
10. Children
ZROOM is intended for tenants with full civil capacity under Vietnamese law. We do not knowingly collect personal data from children under 16. If we discover such data, we will delete it.
11. Changes to This Policy
We may update this policy from time to time. The latest version will be posted at https://zroom.vn/en/privacy with an updated “Last updated” date. Continued use of the website or app after changes means you accept the revised policy.
